How It Works

Kasper helps your team handle inbound emails faster. It reviews each new email, sorts it by type, prepares a draft reply when a reply is needed, sends the right person a review notice, updates your tracking system, labels the email, and records what happened.

It does not send emails on its own unless you have approved that setup in writing. Your team stays in control.

A new email comes in

When a new email arrives in the connected inbox, the automation starts.

The email is prepared for review

The system reads the sender, subject, message, thread details, and any available context needed to process the email.

Your business rules are checked

The system checks your routing rules, team owners, VIP list, sensitive topics, business hours, and approved response guidelines.

The email is sorted

The email is placed into one clear category, such as sales, support, billing, legal, urgent, newsletter, low priority, VIP client, or needs human review.

The next action is chosen

Based on your rules, the system chooses the correct path: draft a reply, assign it to a team member, escalate it, skip it, or mark it for human review.

A draft reply is prepared when your rules call for one

If the email requires a response, the system prepares a draft using your approved tone and instructions. Your team reviews and edits the draft before sending.

The right person is notified

The assigned team member receives a review message in your chosen channel, such as Slack, Teams, or email. The message includes the email summary, category, priority, and recommended next step.

Your tracking system is updated

The system creates the agreed record in your CRM, sheet, database, or task system. This may be a note, task, log row, or status update, depending on your setup.

The email is labeled

The system applies the correct label, category, or status to the email so your team can see what happened.

The run is logged

Every email gets a tracking ID. The system records the email type, priority, assigned owner, draft status, approval status, labels applied, tracking records created, and final result.

By default, Kasper — Inbox Agent does not:

  • Send emails without approval
  • Delete emails
  • Make legal, billing, refund, or contract promises
  • Mark sensitive messages as resolved without review
  • Ignore VIP messages
  • Use hidden passwords or secret keys
  • Take action without logging it
